This statement explains how the ECALAS alumni association (“we” and “our”) handles and uses the personal data we collect about our alumni and website visitors.

We are committed to protecting your personal information and being transparent about what information we hold. The following statement sets out how the ECALAS alumni association specifically uses your personal data for networking purposes.

 

Personal data that we hold

We hold a range of personal data about website visitors and ecalas members.

We collect basic user and computer information from all visitors . This includes information such as:

  • Your internet location (IP address)
  • The web page you came from to get to our Website
  • The browser and device type you are using to access the Website
  • The date(s) and time(s) you visit the Website
  • The pages you visit and links clicked on our Website
  • Information from the forms you view and complete
  • The content you download

The majority of the personal data of ecalas members that we hold is information collected through alumni surveys performed by email or on the ecalas.org website, or from your ECATA training. Examples of categories of personal data which we hold include: first name, last name, year of ECATA training, company and position during your ECATA course, actual company, actual position and department, job description, contact details provided to ECATA or ECALAS, nationality, date of birth, gender, individual skills addressed in survey, local ECALAS network, individual expectations in the ECALAS network and seminar addressed in surveys, individual photos.

The ECALAS or ECATA may commission photography / videography at specific events, for use in its internal and external promotional material or archive material. Alumni who attend these events may appear on the resulting images, and the resulting images may be published.

 

How we use your data

Your data is used by us for a number of interdependent purposes in support of alumni relations, supporter communications.  These include:

  • sending you publications (e.g. newsletters)
  • conducting surveys,
  • conducting statistical analysis about the ecalas community,
  • inviting you to ECALAS or ECATA events,
  • facilitate communication between ECALAS alumni,
  • developing ECALAS network,
  • statistical
  • internal record keeping,

Communications to you may be sent by post, telephone or electronic means (principally by email), depending on the contact details we hold,

Do we share your data with third parties?

The ECALAS members individual data will be available to the ECALAS alumni and associated members, ECALAS alumni association board, ECATA boards, administration.

The ECALAS members individual data may be communicated to companies and academic partners involved in ECATA consortium, ECATA delegates during ABI courses (in order to support for MTP for example).

Personal data will not be communicated to other parties unless explicit agreement from individuals.

Personal data will not be sold to third parties under any circumstances.

 

How we protect your data

Personal data is stored on a ecalas.org website in a restricted area accessible to the ECALAS alumni and associated members, ECALAS alumni association board, ECATA boards, administration.

Your rights

You have the right to correct or update your personal data at any time. Please use ecalas.comm@gmail.com address to update your details or appropriate form on the website. Where you have provided consent, you may withdraw that consent at any time. You may have the right to have your personal information deleted, the right to restrict processing, the right to object and / or the right to data portability. You have the right to see the personal data we hold about you.

How long do we keep your individual data?

We will retain your data for a period of 30 years after its availability or until you request us to do otherwise.  We will publish on our website any changes we make to this data protection statement and notify you by other communication channels where appropriate.

Where you exercise your right to erasure, we will continue to maintain a core set of personal data (first and last name, year of ECATA course) and a specific mention to ensure we do not contact you inadvertently in future, and to maintain your academic record for archive purposes.
